Welcome to the Rezerv Feature Updates: September 2024! In this edition, we’ll be highlighting the exciting new features that were introduced in September 2024. These updates are designed to provide greater flexibility, improve customer experiences, and streamline your business operations.


This month, we’re focusing on four key updates: the Integration with Igloohome, which brings smart access to your gyms; the highly requested Book now, pay later feature, offering payment flexibility for your clients; Memberships with credits, giving your members more versatile options for using their credits across different services; and finally, Customer Tagging, a new addition to the Customer Management Module that helps you better personalise your services.


Let’s dive into each of these features and explore how they can elevate your business to the next level.


Integration with Igloohome

One of the most significant updates in September 2024 is the Integration with Igloohome, bringing smart access technology to your gym or facility. This new integration allows gym owners to offer seamless, automated check-ins for members through smart door locks, creating a more efficient and secure experience for both clients and staff.


The Igloohome door lock integration is particularly useful for unmanned gyms, 24/7 gyms, or businesses with flexible operating hours, allowing members to access the facility without needing staff on-site. With the ability to control access remotely, gym owners can reduce staffing costs while ensuring a safe, streamlined check-in process for all members.


Book now, pay later

The new Book now, pay later feature provides clients with the option to book classes, packages, or memberships with the flexibility to pay at a later time—either in person or online. This feature is ideal for clients who may prefer in-person transactions or need a little more time to manage their finances.


For now, this option is only available for classes, packages, and memberships, but it will soon be expanded to include appointments as well.



A. Flexible payment options

With the Book now, pay later feature, clients can book classes or purchase packages with the option to defer their payment. This flexibility allows them to either pay on the booking fulfilment or within a specified timeframe, giving them greater control over their finances. 


This feature is particularly useful for clients who may not be ready to make an immediate payment or who prefer to handle transactions in person in your outlet or business location. By offering a pay later option, businesses can cater to a wider range of clients, making their services more accessible.


B. Manual booking for pay later option

In addition to allowing clients to choose the pay later option themselves, business owners can manually set this option for clients directly in the backend. This feature is useful for accommodating clients who may request the pay later option over the phone or in person, giving you the flexibility to manage these bookings without requiring the client to complete the process online.


C. Backend management and control

The backend management for the Book now, pay later feature provides business owners with complete control over unpaid bookings. All pending payments are clearly marked, making it easy to track and manage outstanding transactions. 


Business owners can also send automated reminder emails to clients who have chosen the pay later option, ensuring that payments are not forgotten. 


Once a payment is received—whether in cash or through other methods—it can be easily marked as paid in the system. This ensures that the entire booking process remains seamless, even for clients who prefer offline payments, thereby enhancing the overall flexibility of the service.


Memberships with credits

We’ve made significant updates to Memberships, giving you greater flexibility with booking credits. Now, you can assign credit counts for different services—whether it's classes, appointments, or even facility access—all under one membership.


This eliminates the need to create separate memberships for different offerings, making it easier to manage a wide range of services from one central plan.



A. Versatile credit allocation

The new Memberships with credits feature allows you to allocate credits across multiple services, providing more value under a single membership plan. 


For example, you might offer an all-in-one membership that provides members with a set number of credits for all the services offered at your facility—be it HIIT classes, after-workout massages, or general gym access. This way, clients can engage in multiple activities using one membership without needing to sign up for separate memberships for each service. You can also continue offering simpler options like a basic gym membership but with a credit system (that we will explain in the next section). This flexibility ensures that your clients have the freedom to choose the experience that best fits their needs, all while streamlining membership management.


Additionally, you can customise the credit usage within a membership to meet the diverse needs of your clients:


  • Unlimited credits or specific allocations: You have the flexibility to offer unlimited credits for certain services, such as creating an "unlimited class pack" membership. Alternatively, you can also assign a specific number of credits (limited credits). For example, clients may receive 20 credits per month that they can use for different types of offerings.


  • Custom credit costs by service: Credits can be customised based on the type of services. For instance, attending an HIIT class might require one credit, while an after-workout massage might require five credits. This detailed level of customization allows you to ensure that the membership aligns with the value and cost of the service provided.


The option to set different credit deductions for classes will be coming soon. Currently the default credit deduction is set to one credit per class. Stay tuned for updates!


B. Service-specific credit management

Besides allocating credits across multiple services, you can also allocate them to one service only. You can allocate credits to classes, appointments, or facility access, either individually or all together, depending on your needs. Each of these services can be managed with unique credit requirements, allowing for maximum flexibility.


  • Class-based services: With Memberships with credits update, you can easily manage class-based services by allocating credits to specific classes. Members can use their credits for a variety of classes, such as HIIT, Pilates, or Yoga, depending on their preferences.


  • Appointment-based services: With Memberships with credits update, you can also manage appointment-based services by allocating credits for specific appointments. Members may receive a set or unlimited number of credits that can be used for services like Thai Massage or tennis court rental, each appointment can have a different credit requirement. 


  • Outlet access: With Memberships with credits update, credits can also be used for facility access, providing general gym entry or access to specialised outlets. For example, a membership might include five credits per month for general facility access, usable across different gym locations. 


C. Location-specific access

The Memberships with credits update also offers the ability to set Location-specific access which allows businesses to offer memberships with tailored access to specific locations. You have two main options to decide how clients access these locations:


  1. I will choose the location access: With this option, the business owner decides which specific locations each customer can access. This allows you to set precise control over where members can use their services, ensuring optimal management of facility resources.
  2. Let customers choose 1 location: With this option, customers can select one location for their membership. This flexibility empowers members to decide the most convenient gym or facility for them, enhancing their experience while keeping the membership personalised.


These options can be applied to each specific service. For instance, you may decide that members can use their HIIT class credits only at Location A, while their after-workout massage credits can be used at both Location A and Location B.


By tailoring access to specific locations and services, you create more personalised membership options that cater to clients' preferences and needs, ultimately enhancing their overall experience. This also helps balance attendance across locations and ensures that facilities are being used effectively.


D. Credit renewal

Another important aspect of the Memberships with credits update is the ability to manage credit renewals. You can set renewal schedules for credits, encouraging clients to use them within a specific time frame—whether daily, weekly, or monthly. This helps drive consistent attendance, keeps clients engaged, and ensures credits are used effectively.


Furthermore, credit allocations can be adjusted based on the cycle of payment frequency, which can be either recurring or one-time:


  • Recurring memberships: For recurring memberships, credit renewal can be aligned with the billing cycle. For example, if a membership renews every month, the credits can be replenished accordingly—ensuring that clients receive their credits on a consistent, recurring basis, promoting sustained engagement. You can easily configure this using the "Recurring every..." interface.


  • One-time memberships: For one-time memberships, credit validity can be set according to the membership's duration. Credits can be renewed based on the validity period of the membership, allowing for an appropriate alignment of credit usage with the specified duration. This approach ensures that clients receive credits that are usable for the entirety of their membership, without automatic renewal.


E. Limit bookings per day

You can also limit the number of bookings per day for classes, ensuring that resources are optimally distributed among members. This feature provides businesses with more control over service availability, helping to prevent overbooking and ensuring that every client has an equal opportunity to access your services.


Customer tagging

The Customer tagging feature enhances the Customer management module by allowing businesses to create specific tags for their clients, such as "Injury", "Expert Level", or even practical details like "Shoe Size" or "VIP". These tags are incredibly useful for providing personalised services and ensuring that trainers are well-prepared for each session. 


For example, if a client has an injury tag, trainers can take necessary precautions to ensure the client's safety during the session. This level of personalization not only helps improve the quality of service but also makes clients feel valued and understood.
